How do I report?

When logging onto our internal channel platform, you will reach a home page reminding you of the general aspects of the channel, and allowing you to read detailed information about our privacy policies for whistleblowers and affected parties. 

From there, you can access the form allowing you to provide the details of your report, either in writing, or through a secure audio recording, and even by attaching additional documentation if you so wish. We apply technical measures to protect your identity, eliminating the metadata from the files, distorting your voice and at all times encrypting any exchange of information.

You can report information anonymously, or can identify yourself. Your personal data will be used only for the established purposes, which you may consult in the privacy policy, and will be handled by authorised personnel, without in any case revealing your identity to the person referred to in the acts recounted in the report, nor to third parties.

The form allows you to request an appointment to explain or expand on the information in person with the individual handling the case. This appointment will be arranged within a maximum of 7 days of your request, via the private online follow-up area explained below. 

Any verbal reports must be documented, with the prior consent of the whistleblower, by being recorded in a secure, lasting and accessible format, or through full and precise transcription of the report. Notwithstanding the rights they enjoy under the terms of data protection regulations, the whistleblower will, wherever possible, be offered the opportunity to check, rectify and sign in acceptance of the transcript of the conversation.

Once the form has been completed, we will confirm registration of your report, and you will be provided with an access code for the private follow-up area, where, if you so wish, you can see how your case is progressing, and communicate and exchange information and documentation with the individual handling it, in a straightforward, secure and confidential manner. It is essential to properly safeguard this code, since for reasons of confidentiality it cannot be retrieved, and in the event it is lost or forgotten, you will need to resend us the information.

During administration of the case, you could be asked for additional information via this private follow-up area, and you are therefore advised to access it periodically to check the current status. If you so wish, when you are provided with the access credentials for the private follow-up area, you will be offered the opportunity of giving an email address for the sole purpose of alerting you as to the existence of any new developments concerning your case.

The individual handling the case will analyse the information submitted, to determine whether or not it can be processed, and will send the whistleblower a notification as to whether their report has or has not been admitted for processing. 

If your report is admitted for processing, the internal investigation will begin, and within a maximum of 3 months (which may be extended to 6 months, based on the complexity of the case), you will be notified of the final decision reached.

 

External channel of the Independent Whistleblower Protection Authority:

Although the internal channel is the preferred method to report possible breaches, if the irregularity you wish to report lies within the scope of Article 2 of Act 2/2023, in other words if it involves possible criminal, serious or very serious administrative infringements or breaches of EU law, you may report it via the external channel of the Independent Whistleblower Protection Authority, either directly, or after first reporting it via our internal channel.
